Plan Your Own Event

Planning a successful event requires commitment and energy. Summon these resources and Hart House may be able to supplement them with a few of our own. The Good Ideas Fund (GIF) and Accessibility Fund are open to all full- or part-time UofT students. The GIF is also available to recognized student groups. We offer the Student Toolkit to help Hart House Clubs & Committees plan events.


Facility Bookings for Student Events & Meetings

A variety of small and large rooms are available for meetings and events. For recognized student groups, these rooms are available free of charge.

To book a room:

  • Just contact the Events and Catering office in person, by phone or by e-mail with a few dates and a description of your space requirements. Once you`ve filled in a requisition, you’ll have a response within 2 business days.

Room Booking and Food & Beverage Policies and Guidlines

Hart House offers a wide selection of rooms, services, equipment and furnishings to student groups, staff and external clients for meetings, special events and programmes.

Student groups may make room reservation requests by: 


Making Room Requests:

To request meeting rooms (e.g., for executive or club meetings) for up to twenty (20) guests, student groups may make serial requests for a single semester (Sept. - Dec., or Jan. - Apr.).

  • Maximum of two hours per meeting
  • Scheduled between 8:00am to 5:00pm or 6:00pm to 11:00pm
  • Maximum of four meetings per semester (but no more than one per week)

To request Rehearsal Space (e.g., dance, theatre) groups may make up to two requests per month.

  • All rehearsals are conducted in the East Common Room
  • Bookings may be made no more than one month in advance (i.e., requests for October may be made in September)
    • Maximum of two hours per rehearsal
    • Scheduled between 7:00am to 9:00am and 6:00pm and 11:00pm

Special Events may be requested (in advance) for any date in the academic year.

Sammy’s Student Exchange (Pick-Up or Drop-Off)

Student groups may arrange for food service from Sammy’s Student Exchange for meetings only. 

  • This service is only available for groups with less than 25 guests.
  • Catering service must also be less than $300.00.
  • Catering may only be picked-up from Sammy’s or dropped-off by Sammy’s (to your meeting room, with no food service staff provided).
  • Sammy’s may provide a discount on selected menu items for small events in Hart House.

Restaurant Delivery (from fast food restaurants only)

Small group meetings may order food from some restaurants (e.g., pizza parlours, Swiss Chalet) for delivery to the meeting room.  A representative from the student group must make the order from the courtesy phone at the HUB, and leave a piece of valid identification (Student Card) with the HUB for the duration of the meeting. Upon arrival, the delivery person will be directed to the meeting room for payment. The student group must ensure that all food and beverage containers are properly disposed of at the end of their meeting. (Failure to properly dispose of waste and recyclables may result in future refusals by Hart House, to accept booking requests.)

  • This option is available for meetings of up to 50 guests
  • Delivery is limited to local restaurants (specialty catering companies are not permitted)

Bring Your Own

Individuals may bring their own snacks and refreshments to meetings. Individuals are not permitted to bring food or beverages for distribution to other guests in the meeting. Please ensure all waste and recyclables are disposed of properly at the end of the meeting. (Failure to properly dispose of waste and recyclables may result in future refusals by Hart House, to accept booking requests.)

Special (**)

In extraordinary circumstances, the Hart House Events and Catering office may make arrangements to provide a qualified staff person to monitor food handling, food service equipment and utensils.

  • Service charges start at $100.00

Hart House is able to provide bar service in all rooms. Check with the Events and Catering staff for details.
